Review your Migrated Data

This article explains how to review your migrated data.

Over the next 2 weeks after your migration, we recommend that all the relevant people on your end review the migrated data in Semble to ensure there are no errors or missing data.

The data migration team will continue to work with you during this time to rectify any errors that may have been caused from our data import process.

Note: Any out of scope changes required post migration will be considered as a new chargeable migration requests (E.g. requiring us to upload additional data or changes to the agreed scope).

How to Review your Migrated Data?


We recommend using a data sample size of minimum 10 patients. See below each relevant area of Semble to see how you can review the migrated data.

Note: If there is a case of missing dates in the data provided to us, the migration team often defaults the date to January 1st, 1970 00:00:00 UTC (this date refers to the Unix Epoch date).

Therefore if you see a date 01/01/1970 as migrated record, this is likely because there was no date provided to us in the data export and we required a date value to be able to migrate the record into Semble.

 

Patient Data 

Standard Checks

  • Demographic details are correct (full name, address, date of birth, phone no, emails, etc).

  • Contact relationships are correct (number and details of contact relationships are correct (GP, Referring clinicians, Emergency contacts, Family members, Insurers, etc). Also for insurers check the details including “Authorisation Code” and “Policy Number” is migrated if they were provided.

Additional Bespoke Request Checks

  • If the patients have correct labels (if requested during scope)

  • If the patients are in the correct access group (if requested during scope)

  • If the patients have correct custom patient IDs (if requested during scope)

  • If the patients have any memberships (if requested during scope)


Contacts

Standard Checks

  • Contact details are correct (full name, address, contact details, etc).


Appointments

Standard Checks

  • Belongs to the correct patient

  • Number of appointments is correct

  • Location of appointments is correct (as per agreed location correspondence)

  • User assigned to appointments is correct (as per agreed doctor correspondence)

  • Appointment name is correct

  • Date and time of appointment is correct


Invoices

Standard Checks

  • Belongs to the correct patient

  • Number of invoices is correct

  • Dates are correct

  • Line items are correct

  • Total has been calculated correctly and whether it is underpaid/neutral/ outstanding


Consultation Notes

Standard Checks

  • Belongs to the correct patient

  • Number of consultation notes is correct

  • Doctor/user linked to the consultation note is correct

  • Date of consultation note is correct


Documents

Standard Checks

  • Belongs to the correct patient

  • Number of documents is correct

  • The file names and extensions are correct

  • Document dates are correct

  • Folder structure is correct


Prescriptions

Standard Checks

  • Belongs to the correct patient

  • Number of prescription is correct

  • Issue date is correct

  • Prescriptions details (no of prescribed drugs, name, frequency, quantity, etc) is correct

  • Doctor/user linked to the prescription is correct


Labs

Standard Checks

  • Belongs to the correct patient

  • Number of labs is correct

  • Dates are correct

  • Lab details are correct


Letters

Standard Checks

  • Belongs to the correct patient

  • Number of letters is correct

  • Letter dates are correct

  • Letter details are correct (practitioner name, letter content)


Products

Standard Checks

  • Product details are correct

  • If there is any additional info the product i.e Product code, Serial number, Supplier, Stock level, Tax, Cost (£), etc.


Additional Checks (Reports from Analytics)

On top of manually checking each relevant section of Semble to review your migrated data, you can also run reports from the Analytics section. The reports will capture the data you have in Semble, both migrated and the ones you have added in Semble.

You can run the reports for a better overview of all the data you have on your Semble account by running relevant reports for each area of Semble.

For example, to see all the patients that you have in Semble, you can run a Patient Data Report. This will showcase all the patients that you have on your account migrated and the ones you have added in Semble.


Raising a Query

Contact migrations@semble.io with the below:

When possible, provide 2-3 examples for any related patient data provide the Semble system patient ID. 

For example: patient 'X123YE53Z' is missing consultation notes from DD/MM/YYYY

The the team will then investigate whether the missing item was missed in our data import process or if it was missed from the data export provided to us.

If it was missed on Semble's end, then we will work with you to rectify this.

However, if it was missed from the data export, then we will need to raise a new migration request to address the missing data which will be subject to additional charge to process.
